Assistant to the Executive Director

OFC Creations Theatre Center - Rochester, NY (Onsite)
Full-Time | Non-Exempt
Pay: $18.50-$21.00/hour (based on experience) + Benefits

OFC Creations is seeking a highly organized, proactive Assistant to the Executive Director to support the Executive Director in daily operations across productions, events, and educational programs. This role is ideal for someone who learns quickly, works independently, and excels in a fast-paced, creative environment.

What You'll Do

  • Manage schedules, email communication, meeting notes, and follow-up tasks.

  • Support daily operations, including student arrival for classes, rehearsals, and performances.

  • Assist with production and event logistics, including occasional event setup and operational tasks.

  • Create schedules for meetings, events, and production changeovers.

  • Provide employee redirection, training, and accountability support.

  • Research new processes, tools, and applications; assist with implementation and staff training.

  • Manage educational rosters and administrative systems.

  • Coordinate travel and housing for out-of-town actors and staff.

  • Perform general clerical and hands-on support tasks as needed.

Schedule

  • Full-time; typically 6 days per week.

  • Usual hours: 2pm-8pm weekdays, with varied daytime/evening hours on weekends.

  • Daytime schedule during school breaks and summer programs.

  • Primarily in-person with limited remote admin hours.

What You Bring

  • Strong written and verbal communication skills.

  • Ability to take direction, work independently, and solve problems quickly.

  • Proficiency with Microsoft Office; comfort learning new programs (JotForm, Canva, etc.).

  • Ability to train and support staff.

  • Prior theatre, assistant, or management experience preferred (not required for the right candidate).

  • Must be 18+, have a valid driver's license and reliable transportation, and be able to lift 50 lbs.

Scenic Carpenter

Location: Rochester, NY (with some off-site work as needed)
Department: Production / Theater
Reports To: Director of Theatrical Experiences
Hourly Rate: $20.00 per hour
Job Type: Part-Time, Non-Exempt
Schedule: Variable based on production and project needs

Position Overview

OFC Creations is seeking a skilled and dependable Scenic Carpenter to support the construction, installation, and maintenance of scenic elements for theatrical productions and events. This role is ideal for individuals with experience in theatrical carpentry, scenic construction, or fabrication who can work independently, meet deadlines, and collaborate closely with production leadership.

The Scenic Carpenter plays a critical role in bringing creative designs to life while ensuring safety, quality, and efficiency across all scenic projects.

Key Responsibilities

Scenic Construction & Installation

  • Build, install, and maintain scenic elements and set pieces for OFC productions

  • Execute assigned construction projects in coordination with the Director of Theatrical Experiences

  • Meet project deadlines, ensuring scenic elements are completed and usable well before first performances

  • Assist with load-ins, strikes, and scenic changeovers as needed

  • Perform basic scenic painting and finishing work

Materials, Tools & Workspace Management

  • Create and maintain materials lists for scenic projects

  • Coordinate ordering, purchasing, and acquiring materials

  • Maintain scenic shop, storage, and work areas in a safe, professional, and usable condition

  • Assist with inventory management of scenic and paint supplies

​

Collaboration & Operations

  • Work with Operations Manager to document scenic builds for rental inventory, including dimensions and photos

  • Use OFC's production calendars to track schedules, deadlines, and space availability

  • Collaborate with production staff, designers, and leadership to support overall production goals

  • Support scenic projects across multiple venues as needed (including off-site locations)

Qualifications

  • Experience in scenic carpentry, construction, fabrication, or related trades

  • Ability to work independently and manage assigned projects

  • Strong attention to detail and commitment to safety

  • Comfortable using carpentry tools and working in theatrical environments

  • Ability to lift up to 50 lbs and perform physical labor

  • Reliable transportation

  • Availability that aligns with project timelines, including occasional evenings or weekends
